Physical Medicine & Rehabilitation of NY & CT’s Brewster, NY office is seeking a motivated and detail-oriented Administrative Assistant to join our dynamic team and help us deliver excellent patient care.
Position Overview
The Administrative Assistant will play a key role in ensuring the smooth operation of our Brewster office. This individual will be responsible for managing patient flow, scheduling appointments, handling communication, maintaining records, and providing general administrative support. The ideal candidate will possess strong organizational skills, a friendly demeanor, and the ability to multitask in a fast-paced healthcare environment.
Key Responsibilities
- Front Desk Management
- Greet patients in a warm, professional manner.
- Check patients in and out, ensure completion of necessary paperwork.
- Answer and direct incoming phone calls, emails, and other correspondence.
- Scheduling & Coordination
- Schedule, reschedule, and confirm patient appointments for chiropractic, physical therapy, and sports medicine services.
- Coordinate with clinicians and other staff to optimize appointment availability and minimize patient wait times.
- Manage appointment reminders and follow-ups.
- Patient Communication & Support
- Provide information regarding practice services, insurance policies, and payment options.
- Collect co-pays, process payments, and issue receipts.
- Address patient inquiries, provide resources, and escalate complex issues to the appropriate personnel.
- Administrative Tasks
- Maintain and update patient records in the practice’s electronic health record (EHR) system.
- Verify insurance coverage, obtain authorizations, and handle billing inquiries.
- Coordinate incoming and outgoing mail, deliveries, and faxes.
- Assist with inventory management (office and medical supplies) and place orders as needed.
- Office Support
- Assist in organizing team meetings, preparing meeting materials, and maintaining office calendars.
- Perform data entry and basic bookkeeping tasks.
- Ensure reception and waiting areas remain clean, organized, and welcoming.
Qualifications
- High School Diploma or equivalent; Associate’s or Bachelor’s degree preferred.
- Proven experience (1-2 years) in administrative or front desk roles, preferably in a healthcare setting.
- Familiarity with medical terminology, insurance verification, and billing processes is a plus.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and experience with electronic health record systems is desirable.
- Excellent communication and interpersonal skills.
- Strong organizational skills and attention to detail.
- Ability to maintain confidentiality and adhere to HIPAA regulations.

Working Conditions & Physical Requirements
- This position requires prolonged periods of sitting at a desk and working on a computer.

- Must be a graduate of a CAPTE-accredited Physical Therapist Assistant program (or equivalent).
- Valid Connecticut State Physical Therapist Assistant License (or eligibility) required prior to start.

- Cardio-Pulmonary Resuscitation (CPR) certification is required.
Physical Requirements:

Qualifications:
- Must be a graduate of an American Physical Therapy Association (APTA) accredited school of physical therapy.
- Valid New York State Physical Therapy License and Registration REQUIRED to start.
